Systems Administrator (Adobe Workfront)

The Workfront Administrator role at Beyondsoft involves managing and optimizing Adobe Workfront for the Creative Garage team, focusing on system administration, automation, workflow improvement, and user support. It is a 6-month temporary contract with potential extension.

Responsibilities

  • Serve as the CG Group Admin with full editing rights to templates, custom forms, layout templates, and system settings.
  • Manage access levels, layout templates, groups, and company settings within the Enterprise Workfront instance.
  • Manage job roles, billing rates, and cost rates for resource planning and financial tracking.
  • Design, build, and maintain Workfront Fusion scenarios to automate work processes and reduce manual effort.
  • Implement error handling within Fusion scenarios, including notifications for failures.
  • Manage Fusion scenario versioning, documentation, and improvements.
  • Leverage Fusion connectors to integrate Workfront with other enterprise platforms like Jira, Salesforce, Outlook.
  • Continuously evaluate and optimize workflows, define problems, and design automation solutions.
  • Create process flow diagrams, UMLs, and documentation for workflows.
  • Collaborate with teams to identify integration opportunities and streamline handoffs.
  • Drive standardization across naming conventions, project creation, and templates.
  • Provision new user permissions and maintain user profiles.
  • Create, maintain, and convert project templates across categories.
  • Configure and maintain the Creative Garage Intake request queue.
  • Administer timesheet profiles, enforce submission requirements, and monitor compliance.
  • Build and maintain dashboards and reports for workload visibility.
  • Support resource planning and utilization reporting.
  • Administer proofing workflows and creative review processes.
  • Develop and maintain training documentation, provide support, and drive adoption of processes and automations.

Requirements

  • 3+ years of experience in Adobe Workfront (system or group admin level).
  • Experience with Workfront planning, including intake, resourcing, and request queue management.
  • 1+ years of experience building and maintaining Workfront Fusion scenarios.
  • Strong understanding of project management methodologies, especially in creative/marketing operations.
  • Ability to identify process inefficiencies and design automation solutions.
  • Experience managing request queues, custom forms, templates, and approval workflows.
  • Proficiency in configuring access levels, layout templates, groups, and teams.
  • Experience with timesheet administration and resource management features.
  • Strong process improvement mindset and ability to measure outcomes.
  • Excellent communication skills in English (B2+), documentation, and training skills.
