They are expanding their team by hiring a Professional Services Operations Coordinator to support resource management and quoting operations.
Location: Remote (US)
Responsibilities
- Support the creation, review, and maintenance of sales quotes
- Support the onboarding of delivery consultants into select Client Vendor Management Systems “VMS systems”
- Build and maintain resource forecasts for the RMO
- Support the bidding and operational coordination of opportunities within a large client program and environment
- Monitor and maintain operational data integrity across systems and tools, while identifying opportunities for automation and workflow optimization to improve operational scalability
- Support resource scheduling and staffing coordination activities as needed
- Assist with identification and documentation of processes, process improvements, procedures, and operational playbooks, including evaluating automation opportunities to reduce manual effort and increase scalability
- Support special projects and other operational tasks as assigned
- Escalate operational issues appropriately and ensure leadership visibility for manager-level or higher concerns.
- Provide timely responses and follow-through on operational requests, escalations, and cross-functional communications in a remote work environment
Requirements
- Familiarity with cybersecurity services and technologies
- Curiosity and aptitude for leveraging automation, AI, low-code/no-code tools, and system integrations to streamline operational workflows and improve scalability
- 1-2+ years of experience in operations, professional services, resource management, sales operations, quote-to-cash, or related functions
- Experience with PSA, CRM, CPQ, ERP, or resource management platforms is a plus.
- Experience with Salesforce, Certinia/PSA, NetSuite, or similar platforms
- Experience working in a technology services, consulting, or professional services environment preferred
- Understanding of professional services operations
- Familiarity with quote management and deal support processes
- Process improvement mindset with strong problem-solving capabilities
- Experience creating workflow diagrams and process documentation
- Experience leveraging AI tools such as OpenAI, Claude, or similar platforms to improve productivity, documentation, reporting and operational workflows
- Strong analytical and organizational skills with high attention to detail
- Proficiency with spreadsheets, reporting tools, and business systems
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication and cross-functional collaboration skills
- Comfortable working with data, reporting, and operational workflows
- Strong task management and follow-through skills with the ability to drive activities to completion
