The Conference Manager provides high-level support of conferences from conception through to completion, including technical conferences, trade shows, board meetings, and social events. The role involves managing multiple conferences annually, working as part of a team, and leading within the Conference Management Unit.
Location: Remote in the US
Salary: Starting at $63,000/year, compensation commensurate with skills, education, and experience.
Responsibilities
- Meet weekly with Director, Conference Management Operations to provide status updates, discuss time-sensitive items, quality control checks, and improvements.
- Attend weekly Unit, Pod, and All-Company meetings and participate actively.
- Maintain accurate time records and use company applications like Gmail, ClickUp, Slack, Google Calendar, etc.
- Manage ClickUp boards for each conference, ensuring tasks are up-to-date.
- Develop and foster relationships with Conference leadership and liaise with clients.
- Configure and manage online paper submission processes.
- Compile conference proceedings content.
- Produce detailed RFPs for conferences including timelines, venues, suppliers, legal obligations, staffing, and budgets.
- Communicate and maintain project timelines and priorities.
- Develop, update, and actively manage conference budgets.
- Manage all project elements within time limits and on budget.
- Ensure excellent customer service and quality delivery.
- Travel onsite for site inspections as necessary.
- Research markets for growth opportunities.
- Coordinate with venue management, caterers, vendors, and volunteers.
- Plan room layouts, menus, and conference functions.
- Coordinate sponsorship, online registration, delegate packs, and marketing.
- Troubleshoot on the day of the conference.
- Conduct post-conference evaluations.
- Manage conference websites and social media platforms.
Requirements
- Bachelor's degree in event management, business administration, management, communications, or related field, or relevant experience.
- Minimum of two years of experience in full-scope event management or planning.
- Strong communication, organization, and client-facing skills.
- Strong project management skills.
- Problem-solving ability and resourcefulness.
- Familiarity with professional associations or nonprofit organizations.
