A high-impact operational leadership role for a Chief of Staff / Integrator to support two rapidly growing eCommerce brands, focusing on execution, accountability, and building operational systems.
Location: Remote
Responsibilities
- Capture and organize priorities, ideas, and decisions from the Founder to ensure nothing is overlooked.
- Translate leadership direction into actionable project plans with clear ownership, deadlines, and deliverables.
- Run execution cadences including daily updates, progress reviews, and escalation tracking.
- Shield leadership from unnecessary operational distractions and reactive workflows.
- Deliver concise daily and weekly operational summaries proactively.
- Maintain and prioritize an organized backlog of ideas and initiatives.
- Manage and maintain the master project tracking system across both brands.
- Lead recurring execution meetings focused on progress, blockers, missed deliverables, and next steps.
- Follow up consistently with team members to ensure commitments are completed on time.
- Escalate issues early before they impact operations or revenue goals.
- Foster accountability while maintaining positive and professional team dynamics.
- Ensure every initiative has a defined owner, timeline, and success criteria.
- Develop and optimize SOPs for recurring workflows including product launches, fulfillment coordination, catalog management, asset requests, and operational processes.
- Build and manage project management systems within tools such as Monday.com, ClickUp, Asana, or similar platforms.
- Identify operational inefficiencies and improve them through templates, automation, systems, and documentation.
- Reduce dependency on undocumented Founder knowledge by building scalable infrastructure.
- Independently oversee execution priorities related to the company’s high-growth medical and healthcare-focused brand.
- Support operational scalability across Amazon, Shopify, Walmart, Etsy, TikTok Shop, Pinterest, and additional sales channels.
Requirements
- Proven experience as a Chief of Staff, Integrator, Head of Operations, or Operations Manager within a founder-led company.
- Strong background in eCommerce operations, including direct exposure to Amazon, Shopify, or multi-channel selling environments.
- Exceptional English communication skills with natural conversational fluency and polished presentation abilities.
- Experience building project management systems and workflows from the ground up.
- Demonstrated ability to consistently close projects and follow initiatives through completion.
- Strong leadership and accountability management skills with confidence addressing operational gaps directly.
- High level of business acumen with understanding of operational execution tied to growth and revenue.
- Ability to work independently in fast-paced and evolving environments.
- Strong proficiency using AI tools such asChatGPT, Claude, or equivalent platforms as part of daily workflows.
